Privacy policy

Last updated 27 September 2026.

Effective 27 September 2026.

1. Who this policy covers

This policy describes how iTechMotion Inc., doing business as Solanto (“Solanto”, “we”, “us”), collects, uses and discloses personal information through solanto.ai, the Solanto apps for iPhone, iPad, Mac, Apple Watch and the web, and our emails (together, the “Services”).

2. Patient information is different

When a clinician uses Solanto to record a visit, the recording, transcript and note may contain protected health information (“PHI”). We process PHI only on behalf of the clinician’s practice, under a business associate agreement with that practice and as the Health Insurance Portability and Accountability Act (“HIPAA”) requires. That agreement, not this policy, governs PHI. If you are a patient and want to see, correct or delete information about you, please contact your clinician’s practice. We will help them respond.

3. Information we collect

Information you give us. Your name, work email, practice type and the other details you enter when you request early access, create an account, contact us or apply for a job.

Account and billing information. Your practice name, plan, and payment details. Card numbers are handled by our payment processor; we do not store them.

Clinical content. Audio, transcripts, notes and templates you create in the Services. This is PHI when it relates to a patient, and section 2 applies.

Information collected automatically. Pages visited on solanto.ai, counted by our website host without cookies; and in the apps, device type, operating system version, app version and crash reports.

4. How we use information

We use personal information to provide, secure and support the Services; to create and manage accounts and bill for them; to tell you about Solanto, including when it launches; to understand how the website is used so we can improve it; to prevent fraud and misuse; and to meet legal obligations. We do not use clinical content to train artificial intelligence models, and we do not sell personal information.

5. How we share information

Service providers. Companies that run parts of the Services for us, under contract and only on our instructions. Those that handle PHI have signed a business associate agreement with us. The current list is at solanto.ai/compliance.

Your practice. If your account belongs to a practice, its administrators can see account information and the content created under it.

Legal reasons. When the law requires it, or to protect the rights, safety or property of our users, the public or Solanto.

Business transfers. If Solanto is involved in a merger, acquisition or sale of assets, personal information may transfer, subject to this policy and to any business associate agreement in force.

We do not share personal information with advertisers, and there are no ads in Solanto.

6. Where notes are written

Solanto will write every note in the cloud, using the service providers described in section 5.

7. Your choices and rights

You can unsubscribe from marketing email with the link in any message. Depending on where you live, including California, Virginia, Colorado, Connecticut, Texas and other states with privacy laws, you may have the right to know what personal information we hold about you, to receive a copy, to correct it, to delete it, and to opt out of its sale, of targeted advertising and of certain profiling. We do not sell personal information or use it for targeted advertising. To make a request, email aj@solanto.ai. We will verify your identity before acting, respond within the time the law requires, and not discriminate against you for exercising a right. An authorized agent may make a request on your behalf.

8. Security

We protect personal information with administrative, physical and technical safeguards, including encryption in transit and at rest, access limited to named people with two-step sign-in, and logging of access. No system is perfectly secure; if a breach affects your information, we will notify you and your practice as the law and our agreements require.

9. Where information is stored

Solanto stores information in the United States. The Services are intended for use in the United States.

10. How long we keep information

We keep personal information for as long as your account is active and as needed to provide the Services, then delete it, unless the law requires us to keep it longer. PHI is kept and deleted as the business associate agreement with your practice provides. You can export your notes at any time and ask us to delete your practice’s data.

11. Children

The Services are for licensed clinicians and their staff. They are not directed to anyone under 18, and we do not knowingly collect personal information from children.

12. Changes to this policy

We may update this policy. If a change is material, we will tell account holders by email before it takes effect, and the date at the top will change.
